Automation

Automate repetitive tasks with one WhatsApp message.

Most of the work that eats an owner's week is not difficult. It is the same email, the same reply, the same reminder, done again tomorrow. Flann is an AI agent you message on WhatsApp, and it takes those jobs off your plate while you keep the final say on every one.

To automate repetitive tasks in a small business, you need something that can see your inbox, your messages and your business apps, do the routine part of each job, and ask before anything leaves the building. Flann does that from a WhatsApp chat: you send a text or a voice note, it does the work across your email, WhatsApp Business, reviews, invoices, calendar and records, and every message or change waits as a card for you to approve, edit or reject.

That is the whole idea. No new dashboard to learn. No workflow builder. You talk to it the way you would talk to a capable assistant who already knows where everything lives.

Why repetitive work never goes away on its own

Every business has a set of jobs that come back. A café answers the same question about opening hours. A clinic confirms tomorrow's appointments. A distributor chases the same three customers for payment every month. An agency writes up the same notes after every client call.

None of these jobs is hard. That is exactly the problem. They are too small to hire for and too frequent to ignore, so they land on the owner, usually at the end of the day, usually in pieces between other things.

Traditional automation tools ask you to fix this by building rules. If this, then that. They work well for jobs that never vary, and badly for the ones that involve a customer, because customers vary. A reply to an angry review cannot be a template. A payment reminder to a loyal client should not read like one sent to a stranger.

An agent works differently. It reads the situation, drafts the response a person would write, and hands it to you. You decide. It learns from what you change. Over time the drafts need fewer edits, and you start letting some jobs run without checking each one.

Here are the three ways of handling the same job, side by side.

Seven jobs to hand over, and what you keep

Below are the jobs owners most often give Flann first. For each one: how it is done today, the message you send instead, what Flann does, and what stays with you.

1. Answering email

Today. You open the inbox at night, scroll past newsletters, find the four emails that matter, and write replies you have written a dozen times before. Quotes, availability, "did you get my order?"

What you send. "Anything in my inbox that needs a reply today? Draft answers for the customer ones."

What Flann does.

  • Reads your Gmail inbox and searches for the threads that need an answer.
  • Picks out the customer emails from the noise and tells you what each one is asking.
  • Drafts a reply to each in your tone, using what it already knows about the customer and the business.
  • Sends each draft to you as an approval card. Once you approve, the email goes out from your own account.

What you still decide. Whether each reply is right, and whether it sends at all. Edit the price, soften a line, or reject it and write your own. Nothing sends without your approval unless you have chosen to let that job run on its own.

2. Managing the WhatsApp Business inbox

Today. Your business number buzzes all day. Questions about stock, prices, delivery times, opening hours. Some are urgent. Most are the same five questions, in three languages, and every one waits until you have a free hand.

What you send. "Draft replies to everyone who messaged the business number this morning."

What Flann does.

  • Links to the WhatsApp Business number you already use, by a QR scan. Your customers keep messaging the same number.
  • Reads incoming messages and drafts a reply to each one in your tone.
  • Answers each customer in their own language, whether that is English, Polish or an Arabic dialect.
  • Sends complaints and unusual cases to the right person on your team instead of guessing.
  • Once you approve, sends the replies from your number, so the customer sees the business they know.

What you still decide. Every reply, by default. Anyone who has opted out is always skipped, and new contacts are paced so the number stays safe. You set the tone by approving and correcting; Flann learns from both.

3. Replying to reviews and DMs

Today. A Google review arrives on Saturday. An Instagram DM asks about a booking. Someone comments on a Facebook post asking for a price. A TikTok message sits unread for a week. Each lives in a different app, so each gets checked when you remember.

What you send. "Any new reviews or DMs? Draft replies and flag anything negative."

What Flann does.

  • Checks Google Business reviews, Instagram and Facebook DMs, comments and posts, and TikTok messages and comments.
  • Drafts a reply for each, matched to what the person actually said. A thank-you for a five-star review. A specific, calm answer for a complaint.
  • Routes a serious complaint to the person on your team who should handle it.
  • Queues every reply as a card for your approval.

What you still decide. What your business says in public. A review reply is permanent and visible. You read it before it posts, every time, until you decide otherwise.

4. Chasing unpaid invoices

Today. You know roughly who owes you. Finding out exactly means opening the accounts, filtering by overdue, cross-checking dates, then writing a reminder that is firm without sounding cross. So it slips another week.

What you send. "Who still owes us from last month? Draft polite reminders."

What Flann does.

  • Looks up open invoices in QuickBooks or Stripe and lists who owes what, and since when.
  • Drafts a reminder for each, by email or WhatsApp, with the invoice reference and amount.
  • Adjusts the tone to the relationship: a gentle nudge for a long-standing client, a clearer note for one that is well overdue.
  • Holds each reminder for your approval before it goes.

What you still decide. Who gets chased and how hard. Some clients you would rather call. Some you will give another week. That judgement stays with you; Flann removes the digging and the drafting.

5. Rebooking and reminders

Today. You check tomorrow's diary, message each person to confirm, and mean to follow up with the customers who have not been back in a while. The confirmations usually happen. The follow-ups usually do not.

What you send. A voice note: "Remind everyone booked tomorrow, and find regulars we haven't seen in a couple of months."

What Flann does.

  • Reads tomorrow's appointments from Google Calendar.
  • Drafts a reminder to each person on WhatsApp, in their language.
  • Finds customers who have gone quiet and drafts a personal note inviting them back.
  • When someone replies to rebook, creates the event in your calendar once you approve.

What you still decide. Who hears from you and what they are offered. Reminders are a good first job to let run on its own once the drafts are consistently right. You can switch it back to approval at any time.

6. Weekly reporting

Today. On Sunday evening you try to work out how the week went. That means opening the till, the inbox, the socials and a spreadsheet, and stitching it together in your head.

What you send. "How are we doing?"

What Flann does.

  • Pulls together what it can see across your connected channels and apps.
  • Returns a report card in the chat, so the answer arrives where you asked the question.
  • Reads from or writes to Google Sheets if that is where you keep your numbers.

What you still decide. What to do about it. A report is only useful if it changes Monday. Ask a follow-up question in the same chat, then tell Flann what to act on.

7. Updating records after a call

Today. You finish a call with a supplier or client, you have three things to note down, and you are already late for the next thing. The notes never make it into the CRM. A month later nobody remembers what was agreed.

What you send. A voice note on the way out: "Just spoke to Hana at the hotel group. They want the bigger order from March. Move the deal forward and add a note."

What Flann does.

  • Turns the voice note into a clear instruction.
  • Finds the right contact and deal in HubSpot, or the right row in your sheet.
  • Prepares the update and the note, and shows you exactly what will change.
  • Makes the change once you approve.

What you still decide. What goes on the record. You see the change before it is made. If Flann picked the wrong contact, you reject it and say which one.

The pattern in every job

Read the seven jobs again and the shape is the same each time. You say what you want in plain words. Flann does the looking-up, the cross-checking and the drafting. You get a card. You approve, edit or reject.

This is why it saves time without asking you to trust it blindly. The slow part of most routine jobs is not the decision. It is gathering the information and writing the words. Flann does that part. The decision takes you seconds, because everything you need is on the card.

Look-ups are different. Ask who owes you money, or what is in tomorrow's diary, and the answer comes straight back. Reading changes nothing, so it does not wait for approval.

Why WhatsApp is the right place to run it

Because you are already there. Most owners check WhatsApp before they check anything else, and many run half the business through it already. An assistant that lives in that chat gets used. One that lives behind a login usually does not.

It also suits the way owners actually work: between jobs, on the move, with one hand free. A ten-second voice note from the car park is a complete instruction. You do not need to sit at a desk to clear the inbox or chase an invoice.

If you would rather not use WhatsApp for this, the same agent is available in the Flann app.

Behind the chat, Flann connects to more than 1,400 business apps. Gmail, Google Calendar, Sheets, QuickBooks, Stripe, Square and HubSpot are the common starting points. See the full list of integrations.

Where to start

Do not hand over everything on day one. Start with the job that annoys you most and build from there.

  1. Connect your WhatsApp Business number. Scan the QR code. Your customers keep the number they already have.
  2. Connect the two apps you open most. For most owners that is email and a calendar or accounts package.
  3. Pick one repetitive job. The inbox reply, the invoice chase or tomorrow's reminders are good first choices.
  4. Approve and correct for a week. Every edit teaches Flann your tone and your rules.
  5. Let that one job run on its own once the drafts are consistently right. Then add the next job.
  6. Ask "How are we doing?" at the end of the week, and decide what to hand over next.

Keeping control

Automation has a bad reputation among owners for a good reason. Most of them have seen a tool send the wrong thing to the wrong person at the wrong time. One bad message to a good customer costs more than a week of saved effort.

Flann is built the other way round. By default, every message, every post and every change to your records waits for your approval as a card. You approve it, edit it or reject it. Nothing reaches a customer, and nothing changes in your accounts, until you say so.

Trust is earned job by job. When the reminders have been right for a fortnight, you can let reminders run on their own. The review replies can stay on approval for as long as you like. If a job you released starts getting things wrong, switch it back with one message.

The things that need a human always reach one. Complaints and unusual cases go to the right person on your team rather than getting an automatic answer. Opt-outs are always respected.

That is the balance worth aiming for. The repetitive work leaves your plate. The judgement stays on it.

Common questions

How can a small business automate repetitive tasks without building workflows?

Message Flann on WhatsApp, by text or voice note, and say what you want done. It reads your inbox, messages and connected apps, does the routine part of the job and drafts the result. Every message, post or change waits as a card for you to approve, edit or reject.

Can an AI assistant answer my emails?

Yes. Flann reads your Gmail inbox, searches for the threads that need a reply and drafts answers in your tone. Emails are sent from your account only after you approve them.

Can I manage my WhatsApp Business number with AI?

Flann links the WhatsApp Business number you already use by QR scan. It reads incoming messages, drafts replies in your tone and in each customer's language, and sends them from your number once you approve. Opt-outs are always skipped and new contacts are paced to keep the number safe.

Does Flann send anything without my approval?

Not by default. Every message, post and change waits for your approval. Once you trust a particular job, you can let it run on its own and switch it back to approval at any time. Look-ups, such as checking who owes you money, run straight away because they change nothing.
